Using Auto Archive allows you to manage space in your mailbox or on the email server by moving older items to another location on your hard drive.

ENABLE AND CONFIGURE AUTO ARCHIVE

In Outlook 2010 Auto Archive is not enabled by default. To turn it on,

  • Click on the File tab and then click on Options.

  • When Options window open then clicks on Advanced then click Auto Archive Settings button.

Here you can see Auto Archive option is disabling by default but you need to enable

[Note: -If you select the permanently delete old items option, on bottom on this window mails will not be archived.]

MANUALLY CONFIGURE AUTO-ARCHIVE FOR INDIVIDUAL FOLDERS

  • For Auto-Archive on folder, Right-Click on the folder and click on Properties and go to Auto-Archive Tab.

  • choose the settings you want to change for that folder

MANUALLY ARCHIVE AND BACKUP

  • Go to the File tab, then click Cleanup Tools, and then select archive.

  • Select the folder or subfolder you want to archive. In this example we want to archive this folder to a specific location of its own.

  • The .pst files are saved in your documents folder (user profile\documents\archive.pst)

  • You can change the file location at the bottom on this page by click on browser.

  • You can open you archive file by clicking on file tab then click open the select open outlook data file and give the valid path where you have the archive.pst file.
